For plan managers and the software they use

Your software checks the invoice. We check who sent it.

Invoice and plan management software checks the participant’s plan, funding and price limits. TrueBlue Scout checks the provider against the official records on the service date, from the files your software already exports.

When plan managers check

  • Before you upload a bulk payment request

Drop the NDIA bulk payment request file into Check a list. Each claim line is compared on its service date: the provider's ABN, GST code, registration and compliance actions. The participant's NDIS number is never read.

    Check a list
  • When a new provider sends a first invoice

Paste the name and ABN from the invoice. See whether the name is on record for that ABN, and what the registers show.

    Check a list
  • Each payment run

Export the invoices waiting for payment and drop the file in. Pay what matches; ask about the rest.

    Check a list
  • Once a quarter

Drop your whole supplier list, from your plan management or accounting software, into Check a file in My providers. Cancelled ABNs and ended registrations show up, and new suppliers are added with their supplier ID and contact.

    Check a file
  • Between payments

Keep the list watched. A Monday email says what changed, or gives an all-clear; anything serious comes the same day.

    My providers
  • For audits and the plan management panel

Every check is saved to your Check log with the dates of the data used. Download it, or the results CSV, for your records.

Questions

Do I need to change my invoice or plan management software?

No. Export a CSV from it, as you would for a spreadsheet, and drop it into Check a list. The results download as a CSV with a Result code column (matches, look or incomplete) you can filter or bring back into your own system.

Does TrueBlue Scout see our invoices or participants?

No. Files are read in your browser. Only providers' ABNs are sent to us, never invoice numbers, amounts, NDIS numbers or anything else about a participant.

What does it check that my software doesn't?

Your software checks the invoice against the participant's plan, funding and price limits. TrueBlue Scout checks the provider against the public records on the service date: ABN status and names, GST registration, NDIS registration and every compliance action the NDIS Commission has published.

How many providers can I check at once?

Free: 5 providers per check, no account. Solo: up to 300 per check. Team: up to 3,000 per check. A file can have up to 2,000 rows.

Is there an API?

Yes, with Team and Enterprise. Make a key in My providers, then send ABNs or invoice rows with service dates and get the same facts back as data, each with its source and date. You can also keep your watched list in step with your supplier list. The guide for your developer is at truebluescout.com.au/developers. Software companies: tell us what you need.
